Modifications - Minutes - October 29, 2004
^new form for submitting applications was given to the Board for
approval
^The log that was created to track each application was given to the
Board. This will show the following:
1. lot # of application
2. name and address of application
3. date homeowner made application
4. date received by the Modification Committee
5. which committee member the application is assigned to
for investigation and suggested approval or denial
6. approved or disapproval date when voted on at the
committee meeting
7. date letter is written by Melrose
8. date Tim delivers applications to Melrose
^Tim requested that the Modification application form and an
explanation letter be placed on the web site, so that homeowners have
access. http://www.theslyfox.com/ This web site is being built.
^The form letter to be used to send to the homeowners who have,
according to our survey of Fox Wood, items on their property without
approvals in the files, was presented to the Board.
^Definitions for fences, basketball goals, and flagpoles were presented
to the Board -- the Board will find out the best way to adopt these and
others as developed.
*Meeting with Dee Dee Rodriguez on Oct 28th at 4 PM to discuss the process used to
handle the application forms.
^Melrose has a history database of all information for each
property and can supply us with copies of any information we
need.
^Discussed our process and it was felt that we were compromising
Melrose's database, so all applications will first go to Dee Dee at
Melrose for logging -- the originals will immediately be
delivered to us by Dee Dee. We will follow our established
procedure and at the end of the process all applications will
be returned to Dee Dee for logging on their database and then
storage.
^Plastic containers for the 910 lot files will be purchased before
returning them to Melrose
*First draft definitions worked on by Diane were given to each committee member to look
over and make changes or suggestions. These definitions were for: play gyms/swing sets,
landscaping, lawn ornaments, and ponds and water fountains.
*Other definitions that need to be worked on, so that we can complete our list are as follows:
wells
landscape curbing
solar panels
hurricane shutters
structural additions
ground and landscape lighting
screening
If you can think of others that need to be addressed please let me know. If you decide to
tackle a definition please send me an e-mail and let me know which one you are working on
so that we won't duplicate efforts.
*Diane and Mandy will work on the territories for each committee member to make the areas
are more equitable.
*There were fifteen (15) applications that were presented to the Committee for a vote. There
were fourteen (14) approvals and one (1) denial.
*The American Disabilities Act was discussed concerning the necessity of keeping the
sidewalks clear when workers are not present during the construction of a pool or any grading.
*Suggestions made are as follows:
1. Start to check our areas again after the first of the year, when we
have completed all letters for homeowners who have things on
their properties without approvals in the files.
2. Jay suggests that we look around other neighborhoods for upcoming
trends, that we cause problems for us later.
3. We all need to be aware that it is important that we validate and
check twice all problems we observe and then present it to Tim
with all the pertinent information.
