Modifications - Minutes - April 7, 2005
Members present for our 6:30 PM meeting at Trinity Outpatient Center on the 7th of April 2005 were: Tim Gibson, chairman, Alan Allred, Wendy Dong, Mandy Gibson, Ken Houck, David Jones, Diane Kocienda, Frank McGovern, and Bob Niemiec. There were 2 residents in attendance in the beginning. One gentleman thought it was a board meeting and the other gentleman came to drop off his Request for Approval Form. They both left before the meeting began. We had two new members of our Modifications Committee attend their first Modifications Committee meeting, and they were David Jones and Frank McGovern. Tim welcomed both David and Frank.
The Architectural Standards have been mailed to all Fox Wood homeowners. These standards are a supplement to the deed restrictions, stated in the Fox Wood and Trinity Master Covenants, which we are obligated to follow. With the Architectural Standards in the homeowner's hands, we will proceed with the letters to residents who have items without recorded approvals. This will be a massive undertaking and we will need additional help. When we get the labels printed, the Modifications Committee members will be called to help so that we can get this mailing out as soon as possible. Mandy will price the labels (size 51-60) needed for the process and make sure we have enough envelopes and stamps. Diane will try to determine approximately how many copies of the letter and the Request for Approval form that we need to have printed. Tim will check the price of having the copies printed at ABCO.
In order to help reduce the number of letters going out, it was recommended that we grandfather in existing gutters and lawn curbing and edging. These items will be noted on the Inventory Database as approved as of the date we distribute the letters. No letter will be sent to the homeowners, but we will put this information in the Sly Fox that those gutters, lawn curbing, and edging that existed as of the date of our letter will be grandfathered in, but all future gutters, lawn curbing, and edging must complete an Application for Modification Form and submit to the Modifications Committee for approval.
Diane and Mandy have been working hard to divide the territory as evenly as possible. Maps were made and placed in a folder for each Modifications Committee member. They were given a colored map of all of Fox Wood showing all the territories. Another colored map of just their territory with the lot numbers was included in the folder. Diane divided the data base and printed each committee member's territory and that was also put in the folder. Diane also sent this database to each committee member by e-mail.
